FIELD NOTEAI talent data privacy

AI talent programs may handle reference media, identity information, and usage records. Privacy controls should be designed before enrollment opens, with a clear purpose for every field and a provider path for highly sensitive checks.

01

Collect the minimum needed

List the information required for account setup, eligibility, identity verification, likeness enrollment, licensing, and payment. These are separate purposes, and a team should be able to explain why each field is needed, who receives it, and when it is deleted.

Avoid collecting government ID images or biometric templates into an ordinary application database. Use an authorized specialist provider when verification is required, and store only the minimum status and reference data needed to operate the workflow.

02

Protect media throughout its lifecycle

Reference photos and voice samples need carefully limited access, encrypted storage, retention rules, and a process for deletion or replacement. Public previews should not expose downloadable source files. Staff access should be logged and reviewed.

Separate contributor profile data from identity results and raw capture media. A breach of one data store should not automatically expose every part of a person's enrollment. Document vendor access and incident response responsibilities before production use.

03

Explain the data practice to contributors

Tell people what is collected, how long it is kept, which providers process it, how it supports licensing, and how they can ask questions. Do not hide important uses behind a general privacy statement that does not describe the actual enrollment flow.

A change in provider, purpose, or retention can affect expectations. Review the notice and consent again when the data practice materially changes, and provide a clear route to report a suspected misuse or security concern.

04

Treat privacy readiness as a launch dependency

A marketplace should not accept sensitive uploads until storage, identity verification, access control, retention, deletion, and support operations are tested. A placeholder upload form is not a privacy program and can create risk without delivering the intended service.

Approved.video does not store raw identity or biometric payloads for the talent scaffold. Identity checks and sensitive uploads remain disabled until an authorized provider and appropriate privacy controls are in place.

Questions & answers

Should an AI talent platform store raw identity documents?

Only if a reviewed, necessary, secure process requires it. Prefer an authorized identity provider and minimize what the platform retains.
